POSITION OVERVIEW
The Sales and Leasing Associate is responsible for coordinating prospective resident (“prospect”) leads and maximizing occupancy through strategic leasing efforts aligned with portfolio performance targets. This person is a key liaison between the management offices and prospects. An effective Sales and Leasing Associate has high energy and always demonstrates professionalism and superior customer service skills. A successful candidate will be self-directed, great at collaborating across disciplines and teams, results-driven, and able to operate with minimal supervision while supporting broader leasing and operational goals. This position will report to the Sales and Leasing Manager and will work remotely.
KEY RESPONSIBILITIES
Compliance and Ethical Standards
- Conduct all business in accordance with company policies, Fair Housing regulations, the Americans with Disabilities Act, the Fair Credit Reporting Act, and all other applicable laws.
- Maintain consistent compliance with all internal leasing and sales procedures, and apply discretion in interpreting and enforcing company policies.
- Demonstrate the highest level of integrity in all instances and show respect toward others and company principles.
Sales and Prospect Engagement
- Apply in-depth knowledge of the company’s communities, amenities, and positioning to effectively promote and sell units to prospective residents.
- Understand prospects' needs and expectations by building rapport and gaining their trust.
- Gather relevant information to analyze and present community options that exceed prospect expectations.
- Ensure timely follow-up activities for all prospects to maintain engagement and improve conversion rates.
Lead Management and Appointment Coordination
- Ensure all required administrative processes are completed with accuracy and efficiency, using discretion to prioritize high-potential leads.
- Independently manage appointment schedules and enter appointments into the correct team calendar, confirming appointments with prospects on the day of the visit.
- Assist site team to ensure proper follow-up and engagement with prospects to drive customer experience.
- Connect with prospects when the prospect has not been communicated within the B&H set threshold.
Leasing Operations and Performance Monitoring
- Understand the leasing platform and all reporting functions.
- Stay actively informed about local market conditions and trends to better leverage leads.
- Respond promptly to prospects as needed by the onsite sales teams
- Prepare and present leasing reports as requested by operational leadership.
Customer Experience and Site Management
- Maintain a professional and welcoming virtual and on-site presence where prospects and current residents may frequent, ensuring a consistent and branded customer experience.
- Perform site visits to familiarize yourself with the product, understand amenities, and interact with on-site teams.
- Stay knowledgeable about all pricing, leasing specials, and unit availability.
Administrative and Additional Responsibilities
- Complete all required pre-approval requirements such as fraud prevention, screening, documentation collection, & lease execution applying discretion in managing exceptions.
- Handle administrative duties and special projects assigned by the direct supervisor or other operational leaders.
- Carry out other duties as assigned by leadership to support the company’s leasing and occupancy goals.
EDUCATION, EXPERIENCE, AND SKILLS
- Demonstrated passion for customer service.
- Strong interpersonal skills with a customer- focused mindset.
- Strong verbal and written communication skills.
- One (1) year or more years in a customer service, sales, or customer facing role.
- Demonstrated ability to exercise independent judgment, especially in prospect communication, problem-solving, and reporting.
- Be a self-starter with a proactive, solutions-driven mindset to address concerns and effectively implement next steps with limited supervision.
- Proficiency in property management software (e.g., Onesite, Yardi, or similar), Microsoft Office suite, and customer relationship management (CRM) tools.
- Excellent interpersonal, verbal, and written communication skills.
- Exhibit professionalism and discretion throughout all interactions with coworkers, residents, vendors, and the community.
- A desire for professional development and continued learning
- Ability to manage one’s time.
- Ability to perform at a high level in a fast-paced work environment while successfully adapting to changing priorities and demands.
- A High school diploma or equivalent (e.g., GED) required.
