The Opportunity
We’re seeking an experienced Assistant Community Manager to join our close-knit, two-person office. In this role, you’ll not only manage operations—you’ll also be the face of the community and our leasing rockstar, making sure every interaction leaves a positive impression. You’ll support the property’s goals by helping to lease efficiently while delivering exceptional resident service. This position works closely with the Community Manager and our dedicated maintenance team, with the ability to step into leadership when needed.

Principal Duties & Responsibilities (Essential Functions)
Financial Oversight
- Assist in preparing and executing the annual operating budget.
- Complete all daily financial transactions, including collecting and posting rent, fees, and other payments.
- Review and submit vendor invoices for payment with required documentation.
- Monitor and control expenses within budget parameters.
- Ensure all bank deposits are made in accordance with company policy.
Leasing & Marketing
- Be the face of Madison Flats—greet and engage residents, prospects, and visitors with inviting customer service.
- Conduct engaging tours showcasing apartment homes, amenities, and community benefits.
- Promptly follow up on leads, inquiries, and applications to maximize lease conversions.
- Accurately quote rental rates, availability, and leasing terms.
- Process applications, lease documents, move-ins, and renewals.
- Ensure all apartments are tour-ready and meet standards prior to occupancy.
- Implement marketing and outreach strategies to maintain target occupancy.
- Conduct weekly market surveys and provide insights on local conditions.
Resident Relations
- Deliver exceptional customer service and maintain positive relationships with residents.
- Communicate professionally regarding outstanding balances and manage collection procedures.
- Promptly resolve resident concerns and service issues.
- Distribute move-in packets and ensure smooth onboarding for new residents.
- Assist in planning resident events that build community connections.
Inspections & Unit Readiness
- Inspect move-outs, document deficiencies, and ensure compliance with lease terms.
- Inspect apartments prior to move-ins to confirm readiness and quality standards.
- Coordinate with maintenance to resolve outstanding work orders or deficiencies.
Administration & Team Support
- Collaborate with the Community Manager and maintenance team to achieve property goals.
- Act as the Community Manager in their absence.
- Maintain accurate records in Yardi, CRM, and other systems.
- Ensure compliance with company policies, Fair Housing, ADA, and all regulations.
- Perform other duties as assigned.
Supervision
- Reports to: Community Manager and/or Regional Property Manager.
- May supervise on-site associates and contractors in coordination with the Community Manager.
Qualifications & Skills
Education
- Two- or four-year college degree preferred, or equivalent experience.
- High school diploma or equivalent required.
Experience
- Minimum 2–3 years of leasing experience in multifamily property management.
- At least one year of Assistant Community Manager experience required.
- Lease-up experience strongly preferred.
- Background in marketing, leasing, and financial oversight.
Skills & Competencies
- Strong interpersonal and communication skills (written and verbal).
- Ability to interact professionally with residents, team members, and vendors.
- Highly organized with keen attention to detail.
- Proficient in Yardi, CRM platforms, and Microsoft Office.
- Strong decision-making and conflict resolution abilities.
- Professional demeanor and appearance.
- Flexibility to work three to four Saturdays every month, with a day off during the week.
- Reliable transportation.
