Summary
The Assistant Property Manager reports to the assigned Property Manager(s) and Vice President of Property Management. This position is responsible for managing operations associated with MINCA’s real estate portfolio and is involved in all aspects of day-to-day operations of the properties, including accounting, tenant relations, maintenance and repair, security, janitorial services, landscaping etc. Assists in the oversight of purchases and expenditures, vendor contracts, leasing, and capital improvements related to the real estate portfolio.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Provide excellent tenant service. Respond to tenant requests/problems in a timely and courteous manner and generate work orders directed to vendors or maintenance staff. Follow-up with the tenant to ensure satisfactory resolution of the issue.
Conduct periodic inspections of properties and tenant spaces to ensure compliance with leases and vendor contracts.
Ensure that property and lease files are properly maintained and kept up to date in accordance with company policy. Abstract leases into accounting software.
Assist with administering tenant occupancy including move ins and outs, providing the new tenant with an introduction letter regarding emergency contacts, insurance requirements, rent collection procedures, and maintenance request procedures.
Prepares and coordinates bid proposals, service contracts and purchase orders. Assists in bidding process and assists Property Manager(s) in their efforts to ensure compliance with company policies and procedures. Verifies invoice amounts and information against approved purchase orders or contracts. Ensure proper coding on invoices and assist corporate accounting with questions related to the property and resolution of vendor issues.
Completes various projects as assigned by the Property Manager(s) including but not limited totenant alterations and improvements, capital improvements and maintenance operations.
Assists with monthly management reports, annual budget preparation and tenant expense reconciliations.

Education and/or Experience
BS/BA and 5+ years’ experience or equivalent combination of education and experience, and 2 years' of SME in respective areas
Computer Skills
To perform this job successfully, an individual should have strong working knowledge of MS Word, PowerPoint, Outlook, and Excel. Yardi and work order software strongly preferred.

Familiarity with a variety of project management concepts, practices and procedures.
General working knowledge of mechanical, electrical and plumbing systems preferred but not required.

Work Location
This position must work on-site at the Tempe Arizona Southwest Regional Office (SRO) for purposes of providing adequate support to internal clients; being available for face-to-face interactions and coordination of work with other employees, colleagues, clients, or vendors; as well as for facilitation of quick and effective decisions through collaboration with stakeholders. Remote work is not an option for these purposes.
Working Hours
This is an exempt level position requiring the incumbent to work the hours required to fully accomplish job responsibilities and reasonable meet deadlines for work deliverables. The individual must have the flexibility to work beyond traditional hours and be able to work nights, weekends or on holidays as required. Work hours may be changed from time to time to meet the needs of the business. Typical core business hours are Monday through Friday from 8:00am to 5:00pm.
Travel
This position requires domestic travel of up to 10% of the time.
