The Maintenance Operations Coordinator plays a pivotal role in supporting the physical operations across a portfolio of multifamily communities. Based in Indianapolis, this position is responsible for overseeing critical maintenance processes including make-ready turns, service request efficiency, and preventative maintenance programs. This hands-on leadership role requires a strong technical background—particularly in HVAC and electrical systems—paired with the ability to coach, troubleshoot, and guide maintenance teams both remotely and on-site.
This position reports directly to the VP of Facilities and Projects, collaborates closely with the Regional Manager to ensure seamless onsite execution, and is supported by the Portfolio Compliance Manager in matters of policy adherence and operational consistency.
Key Responsibilities:
- Make-Ready Oversight: Monitor turn schedules, ensure completion timelines, and support site teams in identifying and resolving obstacles that delay unit readiness.
- Service Request Management: Track service volume, response times, and close rates. Assist communities with backlogs or workflow inefficiencies.
- Technical Troubleshooting: Provide field and remote support on intermediate to advanced electrical and HVAC issues. Assess whether repair or replacement is appropriate and communicate recommendations to leadership.
- HVAC Replacement & Training: Personally execute HVAC system replacements and lead training sessions for onsite team members to elevate technical capabilities.
- Parts Support: Field calls from service technicians who need assistance locating or ordering difficult-to-find parts and ensure timely resolution.
- Preventative Maintenance Programs: Implement, monitor, and optimize preventative maintenance protocols across all communities, ensuring equipment longevity and reduced emergency calls.
- Field Visits: Travel to communities as needed to assess conditions, conduct training, and support large-scale repairs or capital projects.
Qualifications:
- Minimum 7 years of multifamily maintenance experience, with at least 3 years in a supervisory or technical training role
- Universal EPA Certification required; HVAC installation experience required
- Strong working knowledge of electrical, plumbing, and mechanical systems
- Proven ability to manage multiple priorities and troubleshoot under pressure
- Clear communicator with strong organizational and documentation skills
- Proficient in maintenance software and remote troubleshooting technologies
- Valid driver’s license with reliable transportation for site visits
Work Environment:
This position is based in Indianapolis and includes both office-based responsibilities and regular field work at various apartment communities within the portfolio.
