Essential duties and responsibilities:
Leasing
- Monitor vacancies (re-rentals) and maintain accurate waitlists in Housing Connect, Yardi, and internal tracking tools.
- Conduct applicant outreach in accordance with agency-approved waitlist procedures, ensuring all contact attempts, responses, and outcomes are fully documented.
- Coordinate apartment showings and move-ins with on-site Property Management staff.
- Facilitate lease signings (primarily electronic) and ensure timely execution and delivery of lease documents.
- Collect and document move-in funds in accordance with internal protocols.
- Serve as the primary point of contact for applicants throughout the lease-up process, ensuring a responsive and professional experience.
- Process lease renewals for rent-stabilized units, including preparation and issuance of renewal offers in accordance with programmatic and Rent Guidelines Board requirements.
- Collaborate with the Affordable Housing Specialist to ensure that all required subsidy increase requests (e.g., HPD Section 8, HRA, CityFHEPS) are initiated and submitted on schedule to avoid payment delays or underpayment.
Eligibility & File Compliance
- Review household documentation to determine income eligibility in accordance with LIHTC, Tax-Exempt Bond, HOME, and Rent Stabilization program rules.
- Prepare and submit complete, compliant leasing files for review by HPD, HDC, NYCHA, and other oversight agencies.
- Process initial subsidy paperwork for Section 8, HRA, CityFHEPS, and similar programs
- Respond to agency file corrections and audit requests in collaboration with the compliance team.
- Stay informed on updates to program regulations and incorporate new requirements into leasing workflows.
- Support efforts related to recertifications, reasonable accommodations, file appeals, and noncompliance corrective actions as needed.
Additional Responsibilities
- Travel to sites across the boroughs as needed to support leasing and compliance related tasks.
- Perform other related duties and ad hoc tasks as assigned to support leasing, compliance, and property-level initiatives.
Qualifications
Qualifications, Skills, and Abilities:
- 3+ years of experience in NYC affordable multi-family leasing (NYCHPD/NYCHDC marketing handbook, Rent Stabilization).
- NYCHPD Marketing Agent Certification required.
- LIHTC Certification preferred (or must be obtained within 6 months of hire)
- NYS Notary Public license required (or must be obtained within 90 days of hire)
- Possess knowledge of Fair Housing Laws and the Americans with Disabilities Act.
- Knowledge of Yardi (or similar programs).
- Ability to perform in a collaborative, busy, challenging, multi-tasking work environment.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office, particularly Excel
